Your Mandate

We are seeking an Executive Assistant to join the Executive Management team and contribute to its mission of ensuring user mobility, safety, and the long-term sustainability of infrastructures through systemic management based on a sustainable development approach.

Main duties

Reporting to the Chief Executive Officer and working jointly with the Executive Assistant to CEO and the Corporation’s administrative assistants, you will provide thorough, confidential, and proactive administrative support for the Executive Management team. You will also provide the Corporate Secretary with administrative support regarding certain tasks surrounding the creation and monitoring of structuring projects, among other things. You will help manage the tasks, priorities, and activities performed by the Executive Management team through regular interaction with senior management, along with all personnel members.

  • Coordinate meetings and provide follow-up support regarding special tasks and projects by managing meeting notices, logistics, document preparation and follow-ups, along with all necessary measures, in accordance with all deadlines;
  • Serve as a functional replacement for the Executive Assistant to CEO in the event of their absence;
  • Handle confidential or sensitive files and information with discretion;
  • Help administer the Executive Management’s documents and records through filing, updating and digitization activities according to the classification plan;
  • Help migrate files to digital formats;
  • Coordinate weekly meetings for the Executive Committee and act as secretary during those meetings;
  • Collaborate with various internal and external stakeholders when drafting, preparing, and formatting memoranda, documents, reports, meeting minutes, requests, and correspondences;
  • Prepare and conduct follow-up activities regarding requisitions, expense reports and purchase orders.

Experience and education

  • College diploma in secretarial studies, office automation, administration, or any relevant combination of education, training, and experience;
  • Minimum of 10 years relevant experience in a similar position supporting senior management;
  • Excellent proficiency with Microsoft 365 productivity and collaboration tools, including Word, Excel, PowerPoint, Outlook, and Teams, along with a good understanding of SharePoint;
  • Familiarity with electronic signature platforms, including ConsignO, DocuSign, or Adobe Acrobat Sign;
  • Experience with SAP Business ByDesign or any finance-oriented enterprise resource planning (ERP) system;
  • Excellent written and verbal communication in both French and English.

Assets

  • Knowledge of generative AI tools such as Copilot and “prompt engineering”.
